Speaker Ready Room

All Invited Speakers and Discussants as well as Oral and Mini Oral Abstract Presenters are required to report to the Speaker Ready Room at least 24 hours prior to their scheduled presentation in order to upload their presentation slides or to check their previously uploaded slides.
NO FILE SUBMISSIONS WILL BE ACCEPTED IN SESSION ROOMS

Computers are available to preview and upload presentations. Presenters should make sure all fonts appear as expected and all sound/video clips are working properly. The final version must be submitted to the Speaker Ready Room, no presentation submissions will be accepted in the Session Rooms.

General Information

  • You will have a total of 11 minutes; 9 minutes of presentation, followed by 2 minutes time for questions from the audience. Time Limits will be strictly enforced
  • After a set of 3 – 4 related abstract presentations, a Discussant (keynote speaker) will provide a brief summary of the work that has been presented, commenting on the strengths and weaknesses and placing it in the context of other research / knowledge in the relevant area
  • Please be in room for your session 10 minutes before the start time of the session. The Session Chairs will start and end strictly on time
  • You are asked to prepare a PPT Presentation with max. 10 slides (not including title, author and disclosure slide)
  • All presenters MUST include statement disclosing any conflict of interest related to your abstract as the first slide of your presentation
  • Presenters can use their own PPT template or download the IASLC PPT template for their presentation
  • Please prepare your presentation in 16:9 format
  • You MUST submit your PPT slides by August 21, 2015 to the online presentation management system (login details will be emailed in August 2015). This is required so the discussant of your abstract can review your presentation. Changes to your presentation may be submitted onsite to the Speaker Ready Room at least 24 hours prior to your presentation. We recommend that you visit the Speaker Ready Room (Room 502) to check on your presentation regardless of whether you have made any changes to your presentation

Preparing your Presentation Material

  • Your presentation must be prepared in PowerPoint2000 or any later PowerPoint Version (MS Windows) and provided on a CD-ROM or USB-removable drive
  • Set the slide size of the page to “On-screen show” and landscape orientation in the page set-up section. (Portrait orientation will not be displayed properly)
  • Use high-contrast lettering, and not too much text per page (max. 10 lines or 15-20 words). Make sure you use high-contrast colors for the best definition of your text. Please be aware that red letters or lines are usually not visible
  • As a general rule, you should not present more than 1 slide per minute. Visual material supports the speech and should not be the transcription of it
  • The inclusion of a disclosure slide is mandatory even if you have no conflicts to declare
  • It is recommended to keep a copy of your presentation at the time of the presentation, should a problem occur. Furthermore, please have the presentation printed on paper, for reference during the lecture
  • Special characters: To avoid any compatibility problems, please do not use special characters (i.e. “, Ö, Ø, ñ, ?, ®, ý, }, { etc) to name your presentation or movie files

Onsite Upload at the Speaker Ready Room

  • You are requested to check-in your presentation (on your CD-ROM or USB-removable drive) at the Speaker Ready Room at least 24 hours prior to your scheduled presentation. If for any reason you are unable to meet this schedule, please inform the WCLC Conference Secretariat at wclc2015-speakers at icsevents.com before the Conference
  • Please note that technicians in the meeting rooms are not prepared to receive presentations directly from the speakers
  • Computers are available for you in the Speakers Ready Rooms for your final check
  • Once the presentation has been checked, the technical staff will be responsible for its delivery to the session rooms in preparation for your presentation.
  • Macintosh presentations (i.e. Keynote) cannot be accommodated, unless saved to a PC-formatted CD-ROM or USB stick

Poster Presentations

  • Each day a different set of posters will be displayed in the Exhibit Hall (Monday, September 7 – Wednesday, September 9)
  • Location: Exhibit Hall (Halls B + C), Colorado Convention Center
  • Poster Setup Time: 08:30 – 09:30 on day of your Poster Session
  • Poster Take Down Time: 16:45 – 18:30 on day of your Poster Session (Posters not taken down after 18:30 will be discarded by management)
  • Presenting Author Stand By Time*: 09:45 – 10:45 AND 15:45 – 16:45 (Networking Breaks) on day of your Poster Session
    *Time in which Poster Presenter remains at his Poster Board for the specified time period and is available to discuss their research personally with any interested delegate.
  • Maximum Poster Size: 8ft (w) x 4ft (h) – landscape format
  • Poster Boards will be velcro and push pin compatible. Push pins will be provided
  • Keep illustrations and text simple, remember that one must be able to read it from a distance
  • Prepare your poster thoughtfully, remember that more than 500 posters will be presented at the same time – make your poster interesting!
  • Poster Board numbers will be provided in a separate email in August – Management will identify each poster board with the poster number

Poster Electronic File
IASLC would like to request from all poster presenters to submit an electronic file of their poster to be included in the IASLC virtual library. The electronic file should be submitted in addition to having a printed poster presented at the Conference. Your poster electronic file should be PowerPoint file format. We strongly recommend that you submit several slides showing all details of your poster rather than one slide showing the image of your overall poster. In September you will receive a link to submit your poster PowerPoint slides online. 

The deadline to submit your slides is Friday, August 28.

Poster Printing Service

The Conference is pleased to offer a Poster Printing Service to all Poster Presenters. This will allow you to have your poster printed and just pick it up at the ‘Poster Pick Up Counter’ in the Exhibit Hall during the following hours.

In order to book poster printing services please go to the abstract submission system http://abstracts.webges.com/wclc2015 and login with your username and password. Then go to the ‘Poster Printing’ tab and follow the instructions.

Media and Embargo Policy

Abstracts will be made available online on Friday, August 21, 2015 at 4pm Pacific Time and in alignment with the release of the personal itinerary builder. Late-Breaking Abstracts and those abstracts scheduled for a press release will only have their titles and authors released on August 21, 2015 and the full abstracts will not be available until either presented at the WCLC 2015 or released during a press conference, whichever comes first. Once presented or released the full abstract will be available online.

Registrants will receive in their on-site registration material at the conference a USB drive containing the same material that was released on August 21, 2015.

All abstracts, including Late-Breaking and Press Release, will be published in the Journal of Thoracic Oncology as a supplement following the conference.
